TERMS & CONDITIONS
We've tried to keep the terms and conditions as brief and easy to digest as possible. We want you to have a wonderful holiday and go home and tell all your friends how great it was. However, we do need to make sure everything is clearly explained and that there are no nasty surprises for either party, so here's the small print.
In booking to take part in one of our events, you are entering into a contract with Bike Alive Limited, registered in the UK under company number 9075245, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Our operational base is Lieu-dit Raphel, Col des Caougnous, 09320 Boussenac, France. You can telephone us on +33 642 51 27 79.
Prices are per person, based on two people sharing a twin room. Single rooms may be available for a supplement, which will be specified on the booking form for each event.
In order to enter an event, you need to complete our entry form and submit it to us. Once we receive it, we will confirm your booking by email and request your deposit (20%). Once we have received your deposit, a binding agreement exists between us.
Balance of any monies outstanding is required ten weeks before departure. We cannot accept cash on arrival, so please don't ask us to do so. In the extremely unlikely event that we need to cancel the holiday, we will notify you by email and we guarantee that any money paid by you to us will be returned in full. In accepting our terms and conditions, you agree that this refund will be the sum total of our liability and that we will have fulfilled our obligations to you. Should you cancel your booking, you must notify us by email and ensure that you receive our confirmation. The date that we receive your email cancellation will dictate the amount of money we can refund. Good travel insurance should cover you for any financial loss sustained in the event you need to cancel for any reason. If you notify us:`
- more than 70 days before departure, we reserve the right to retain your deposit.
- between 69 days and 15 days before departure, we reserve the right to retain 50% of the price
- less than 14 days before departure, we reserve the right to retain 100% of the price.
In compliance with the Package Tour Regulations 1993, your money is protected at all times.
Consumer Aware: Your booking is insured by IPP Ltd and its Panel of Insurers. This insurance is only valid for passengers who book and pay directly with/to Bike Alive Ltd. For further information, policy details are here.
All our events require a minimum number of participants to make them financially viable. If we don't have sufficient interest and we don't achieve this minimum, we reserve the right to cancel the event. In this case we will refund any money paid to date and this will be the sum total of our liability to you. If you prefer, we may be able to offer you an alternative event in lieu of a refund.
All these events are physically demanding and we ask you to confirm that you are fit to participate before you make a booking. We strongly advise you to consult your doctor to ensure that there is no medical condition that precludes you from taking part.
You MUST take out adequate travel insurance for a holiday of this nature, taking care to ensure that your policy covers non-competitive cycling and medical emergencies, and includes third-party liability. We need to see proof of your insurance before you arrive. If you fail to provide us with proof of insurance, we will assume you are cancelling your booking and our cancellation terms will apply.
As a small independent tour operator, we are not able to get a card processing merchant account (we’ve tried, several times), because the card processors feel that tour operators are a risk. Too many people end up reclaiming the cost of their dodgy holiday from the card processing company, and we all get tarred with the same brush. So we’re very sorry, but the only way to pay us is by bank/wire transfer.
Cycling is a risk sport and we will take every possible precaution to ensure your safety during this event, but we cannot be held responsible for accidents and incidents beyond our control. We strongly recommend that you wear a cycle helmet at all times and if you are participating in an event in Spain, it is actually illegal not to wear one.
We make every effort to ensure that your property is safe at all times, but we cannot be held responsible for any loss or damage. Again, good travel insurance should protect you. You especially need to ensure your bike is insured for loss or damage.
We know that sometimes circumstances change and we will do our best to accommodate any changes that you need to make within reason.
We know that it's exciting to finally arrive at the finish of your event, and we want everyone to have a good time. However, we don't allow clients to drink alcohol in the vehicles and we reserve the right to refuse to transport anyone that we consider is too drunk to travel safely, or who is likely to vomit during the journey. We hope that everyone will drink responsibly and that we never have to leave anyone to make their own way back to the airport.
All the information we have published on the site is correct at the date of publication, to the best of our knowledge and belief. However, it may be necessary to make changes to the events from time to time (e.g. routes may change due to weather or road conditions; hotels may change due to availability, etc.) and we reserve the right to do so without prior notice.
This contract is governed by English law.
